Setting up an iPhone to send/receive email

As we recently had to provide step-by-step instructions for a customer, we thought we’d repeat them here. This information is current for September 2014 and might change for subsequent releases of the iOS operating system.

Settings / Mail, Contacts, Calendars / Add Account
Scroll through the possible suggestions and choose ‘other’.
Select ‘Add Mail Account’

Name: (your name here)
Email: (your email address here, or your mailbox username if its different)
Password: (as supplied)
Description:; (this is up to you)
Press ‘Next’

INCOMING MAIL SERVER
Host Name: mail.yourdomain.co.uk (or mail.yourdomain.com. etc)
Username: (usually your email address, but refer to the info we send you)
Password: (as before)

OUTGOING MAIL SERVER
Host Name: (as INCOMING)
Username: (as INCOMING)
Password: (as INCOMING)

You may get one or two ‘cannot verify the mail server’ messages because the iPhone will always try a ‘secure’ connection first. Press ‘continue’ to these messages.

You will then see an IMAP screen where you can select Mail and Notes.
Press ‘Save’ on this screen. The account is added.

Press the account name again.
Ensure the email address is correct and change it if necessary (don’t change the usernames)
Click Done.

Then press the account name again.
Press ‘Advanced’.
Ensure ‘Mailbox Behaviours’ are all set to locations on your iPhone and not on the Server.

You should now be able to receive all your queued email and reply to something (or send yourself a message).
